Seaside Hotel Vlorë (“we”, “us”, “our”) respects your privacy and is committed to protecting your personal data. This policy explains what information we collect when you use our website and mobile app, how we use it, and the rights you have over it.

  • Booking & guest details — your name, email address, phone number, country, address, stay dates, number of guests and any notes or special requests you send us.
  • Payment information — payments are processed securely by our payment provider (POK). We receive confirmation of your payment and a reference, but we never see or store your full card number.
  • Account information — if you sign in, we use your email address to send a secure sign-in link (we do not use passwords).
  • Enquiries & messages — the content of contact forms, emails and messages you send us.
  • Device & app data — basic technical information such as app version, device type and diagnostic logs, used to keep the app stable and secure.
  • Push notification tokens — if you allow notifications, so we can send you booking updates.
  • Location (mobile app) — only with your permission, to show you check-in details and directions when you are near the hotel. You can decline or revoke this at any time in your device settings.
  • Calendar (mobile app) — only with your permission, to add your stay dates to your calendar.
  • Biometric unlock (mobile app) — Face ID / fingerprint is handled entirely by your device to protect your session. We never receive or store your biometric data.

How we use your information

  • To create, confirm and manage your booking and your stay.
  • To take and confirm payment for your reservation.
  • To send you booking confirmations, updates and important service messages.
  • To answer your enquiries and provide customer support.
  • To operate secure, passwordless sign-in to your account.
  • To send push notifications you have opted into.
  • To keep our website and app secure, prevent fraud and fix problems.
  • To meet our legal, accounting and tax obligations.

Legal bases for processing

Where the GDPR and Albanian data-protection law apply, we rely on the following legal bases:

  • Performance of a contract — to take and fulfil your booking.
  • Consent — for optional permissions such as location, calendar and push notifications, which you can withdraw at any time.
  • Legitimate interests — to keep our services secure, prevent fraud and improve them.
  • Legal obligation — to keep records required by tax and hospitality law.

How we share your information

We never sell your personal data. We share it only with trusted providers who help us run the hotel:

  • Property management system — our booking and property management provider (HotelBee), which stores your reservation so our front desk can manage your stay.
  • Payment provider — POK, to process your payment securely.
  • Email delivery — to send confirmations and account emails.
  • Hosting & infrastructure — Amazon Web Services (AWS), which hosts our website, app services and data.
  • Authorities — where we are legally required to disclose information.

International transfers

Some of our providers may process data outside Albania. Where that happens, we take steps to ensure your data stays protected under appropriate safeguards.

Data retention

We keep your booking and guest data for as long as needed to provide your stay and to meet legal, accounting and tax requirements, after which it is deleted or anonymised. Diagnostic and technical data is kept only for as long as it is useful for security and troubleshooting.

Your rights

You have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Ask us to delete your data, where we are not required to keep it.
  • Object to or restrict certain processing.
  • Receive a copy of your data in a portable format.
  • Withdraw consent for optional permissions at any time.
  • Lodge a complaint with the Information and Data Protection Commissioner of Albania (IDP).

Data security

We use appropriate technical and organisational measures — including encryption in transit, restricted access and secure hosting — to protect your data. Biometric unlock and secure session storage on the mobile app keep your account safe on your device.

Children’s privacy

Our services are intended for adults booking accommodation. We do not knowingly collect personal data from children under 16. If you believe a child has provided us data, please contact us and we will remove it.

Third-party links

Our website and app may link to third-party sites (for example maps or social media). We are not responsible for their privacy practices, and we encourage you to read their policies.
